WHY THE JOB LOST MONEY

Where residential margin actually disappears

Almost nobody loses money on a house because the framing number was wrong. The margin goes in small places between the estimate date and the certificate of occupancy, most of them decided before a shovel moves.

A 3% quantity error on a $600,000 house is $18,000, against a gross margin that might have been $80,000 to $110,000.
That error never stays singular. Build the plan forty times and you bought it forty times.
An allowance set low to win the contract, then absorbed at month five, because nobody wrote down who pays the overage or at what markup.
Selections drift. The buyer picks 12x24 porcelain against a $4.50 per SF allowance and nobody prices the leveling system.
Change orders performed and never written. The framer moves a wall on Tuesday and the paperwork never catches up.
Sub scope gaps found at buyout. Nobody carried the shower pans, and on a fixed price contract that lands in your margin rather than the buyer's.
Escalation between the estimate date and the framing order. Lumber does not care that you priced the house in March.
A $185 per SF number carried onto a lot with a six foot fall. Cost per square foot as an input was never a budget.
Waste buried in one lump. Sheathing on a cut-up hip roof wants 15% and a straight gable wants 5%, so one factor across the house is wrong at both ends.
Markup mistaken for margin. A 25% markup is a 20% margin, and on a $600,000 contract that gap is $30,000.

Cost per square foot is an output, not an input

Two builders price one plan and land $40 per SF apart without either being wrong. Here is what the denominator is doing, and how to back a defensible figure out of an estimate.

How do builders calculate cost per square foot?

Backwards out of a finished estimate, never forwards into one. Total the hard cost, divide by a stated area. The figure reads only if the denominator is named, because under-air and under-roof on one house give two numbers a buyer calls a discrepancy.

Which square footage goes in the denominator?

Name it or the number means nothing. Under-air, or conditioned, area excludes the garage, covered porch and unfinished attic. Under-roof includes them at full area. Most builders publish under-air and carry porch and garage at a fraction.

Why do two builders land $40 per SF apart on one plan?

Because the figure hides foundation type and stem height, lot grade and the cut and fill behind it, roof pitch and how cut up it is, plate height, window-to-wall ratio, spec level and plan shape. A 6:12 gable and a cut-up hip roof never share a rate.

What does a residential construction cost estimator use it for?

Sanity checking, and nothing else. A residential construction cost estimator finishes the detailed line item estimate for building a house, divides by the stated area, then compares it against closed jobs of the same spec level. Landing far off reopens it.

Can you just give me a per square foot number for my market?

Not honestly, and neither can the tables online. Published averages date within months and blend spec levels differing by a factor of three. What you can have is your own figure, from your own plan and your subs' rates.

Foundation, framing and shell, where the quantities come from

This is the half of the estimate that decides the other half. Foundation type, framing method and roof geometry are settled before a buyer picks anything, and most finish quantities downstream are measured against them.

Foundations on a single family home construction estimate

Frost depth, lot grade and stem height decide this line. The floor plan barely touches it.

Slab-on-grade

Warm climates

A monolithic pour with a turndown and a stem wall with a separate slab do not cost alike. The number moves on stem height off the fall across the pad, engineered fill in CY, under-slab plumbing by fixture group.

Crawlspace and pier and beam

Mixed climates

Stem height, block against poured, vented against sealed. The forgotten lines are access, insulation and the ground vapor retarder, plus a pier layout that changes with the floor framing.

Basements, walkout and daylight

Cold climates

Priced by wall height and lineal foot of foundation wall, not the finished area above. Footings go below the local frost line, so a 42 inch frost depth in the upper Midwest buys wall a Gulf Coast slab never pays for.

Custom home estimating services and the framing method

The method decides what the takeoff produces, and what the truss plant already produced.

Roof

With a sealed truss package the manufacturer's lumber list covers the roof, so the takeoff covers walls, floor system and sheathing and never counts roof framing twice. A stick roof comes off the roof plan and the elevations: rafter count is ridge LF divided by spacing plus one per side, then hips, valleys, ridge board, ceiling joists and collar ties added by hand.

Studs run at wall LF times 0.75 on 16 inch centers, then corners, T intersections, headers, king, jack and cripple studs come off the plan rather than a factor. LVL, PSL and GLB by size, TJI or dimensional joists by LF.

  • The check that catches a double count

    A conventional one-story runs roughly 6 to 8 board feet per SF of living area. Outside that band something got counted twice or missed. A framing and lumber estimate for house plans in your yard's units is a buy list.

Plan area times the slope multiplier gives roof area: a 6:12 is 1.118, a 10:12 is 1.302. Then hips, valleys, ridge and rake by LF, drip edge, underlayment and ice-and-water shield by climate zone. Below that, WRB by SF, weep screed by LF, siding by square by profile, soffit and fascia by LF.

Named factors

Window and door schedule counts are reconciled against the elevations, and disagreements reach you with the dollar impact before delivery. Waste is named per material, because drywall and hip roof sheathing do not shrink alike.

A townhome band is a repeat plan turned sideways. Interior units, end units and the party wall between them are three takeoffs, not one multiplied by six. End units carry a whole extra elevation, its glazing and its siding. Interior units carry a rated party wall on both sides and almost no exterior at all.

An as-built is somebody else's measurement of a standing building. From a laser survey it holds. From a tape and an afternoon, wall thicknesses, ceiling heights and out-of-square conditions move, and each moves a quantity.

    The estimate names the drawing it was built from and its issue date, then lists the dimensions the number is most sensitive to, so your PM verifies five on site.

Demo is priced by the volume coming out and the pulls it takes: CY by material type, dumpster size, number of pulls, and whether a truck reaches the back of the house. A second-floor gut with one stair carries labor a ground-floor gut never sees.

Structural modifications

Beam and posts

Removing a bearing wall is a beam, two posts, point-load footings under both, shoring while the load transfers, and the repair afterwards. We price to the structural design you provide and do not size the beam. Without an engineer's sketch the line carries an allowance, flagged unresolved.

Pre-1978 and hazardous material

RRP

A house built before 1978 pulls the lead-safe RRP rules in once the work disturbs more than six square feet of interior painted surface, or twenty outside. Popcorn ceilings, floor tile and pipe insulation from that era can carry asbestos. Both are priced only where a survey or spec section defines them.

Sizing the unforeseen-conditions line

One flat percentage on every remodel is a habit, not a contingency. The line is sized to the building's age, to how much structure is being opened, and to what the photographs already show.

  • What pushes it toward 20%, and what pulls it back

    Up: pre-1960 construction, a full gut, cast iron waste still in service, knob and tube, additions of unknown vintage, plumbing under a slab. Down: a 2005 house, two baths inside an untouched envelope, photographs of what is behind one wall.

When the repair is funded by a carrier

Different ruleset

If an insurance claim is paying, the number is not built up from divisions at all. It is written to the carrier's price list for the loss ZIP and month, on a different desk. Blending the two produces a document neither the carrier nor your buyer will accept.

The same house and the same quantities produce two different documents. What changes is who holds the risk on the day a number turns out wrong.

Cost plus and a guaranteed maximum

Under cost plus the estimate is a budget the client reads and a control document you build against. A miss surfaces as a conversation in month three, not as your money. Under a guaranteed maximum it becomes a ceiling and every assumption becomes contractual.

Most estimating firms publish what is included. This is the other list, printed before you spend anything, because every argument at month six starts with something unwritten.

Land, the lot premium and anything paid before closing. A hard cost estimate starts at the property line.
Impact fees, tap fees, permit and plan review, survey and soils. Named as soft cost lines carrying your figures, because your jurisdiction sets them.
Architect and engineering fees, loan interest, builder's risk, warranty reserve and realtor commission. Outside the hard number, listed so nobody assumes.
Your margin. We produce cost. What you put on top is yours, and nobody here sets it, protects it or advises you on it.
Manual J block loads, Manual D duct layouts, HERS ratings and beam sizing. We price to the design you provide and quantify insulation, duct and equipment.
Any professional engineering stamp. Nothing leaving this office is sealed, and nothing here is a permit document.
Sub quotes and supplier pricing obtained on your behalf. Nobody here calls your framer, your truss plant or your lumber yard. Baselines are RSMeans and the National Construction Estimator, and your own rates overwrite them in the file.
Draw inspections, lender certifications and lien waivers. We format the budget and hand it over. The submission is yours.
Abatement where no survey or spec section defines it. It is excluded rather than carried as a round allowance.
A guarantee of accuracy. The band is 3-5% against actuals, checked by a second estimator. A firm quoting a bid-win rate is claiming credit for your own pricing.

Pricing as of a date, and what to send us to start

An estimate with no date on it is a rumor. Here is how the pricing-as-of date works, what a re-price costs, and the ten things that make your set quotable.

Every estimate leaves with a pricing-as-of date on the cover, because the number is only true against the market that day. Supplier quote validity has compressed in most markets from thirty days toward fourteen to twenty-one, and framing lumber can move further between your estimate and your framing order than every finish upgrade in the house combined.

A re-price is not a new estimate. The measured quantities stand and only the material-sensitive lines move to the new date, so it is quoted as a fraction of the original work rather than as a fresh package. Revisions are a different thing and included on unchanged scope: our error, a line rechecked, a reformat into your codes.

Almost no residential set arrives complete. The finish schedule is brand names with no model numbers, the plat has no grades, the energy report is still with the rater. That is normal and does not stop the estimate. What changes is how many lines carry an allowance rather than a measured quantity, and that count predicts how far the number moves.

Builders search for residential estimating services near me because they assume the estimator walks the lot. On a plan set they do not: the work is measured off your drawings and delivered by email, in all 50 states, from 7901 4th St N STE 300, St. Petersburg, FL 33702. Being local would buy you labor rates, which you already hold, and the rate column is yours.

What is a construction allowance in a home build?

A placeholder amount for an unselected item, carried with a unit basis and quantity: 2,000 SF of flooring at $4.50 per SF installed. The gap between that and the buyer's pick is the allowance overage, billed at cost plus your markup.

Can I get the quantities without any pricing?

Yes, and it costs less. Counts, lengths, areas and volumes arrive with the marked-up sheets and no prices. Builders who buy their jobs out order it that way, because what they lack is leverage on the framer.

Accuracy and timing

How accurate are residential construction estimates?

Ours land within a 3-5% variance band against actuals, from measuring quantities off the plans rather than applying a per square foot rate, and from a second estimator auditing before it ships. Nothing in estimating is exact.

How long does a residential estimate take?

24 to 96 hours from an approved fixed quote. Where your house lands in that window depends on plan size, trade count, and how many elevations and options are carried as deltas. No turnaround is promised on the quote.

Who checks the estimate before it reaches me?

Two people, and only two. The estimator who built it rechecks quantities against the plans and unit costs against the baseline. A second estimator audits independently, allowance basis and waste factors included, before anything reaches you.

I checked every line last time I outsourced. Why is this different?

Because the assumptions sheet and the marked-up plans arrive with the workbook. Pick any line, find the wall it was measured off, read what was assumed. More than a few seconds to trace it and the package failed you.

Money

How much do estimating services cost for home builders?

It is quoted per plan set, not per square foot or per hour, in writing before anything is billed. Against carrying the work in house, a per house engagement typically saves 25 to 35 percent, a monthly partnership 40 to 55 percent.

What does it cost to re-price an estimate that has gone stale?

A fraction of the original, quoted in writing like anything else. Send the same set back with the date you want it priced to, and the material-sensitive lines refresh while the measured quantities stand. That is different from a revision, which is included whenever the scope has not moved.

Do I pay anything if I decide not to proceed?

No. An estimator reads the plan set, then one fixed price and one delivery date come back in writing, and nothing starts until you approve them. If either does not suit you, the quote lapses at no cost.

Fit

Does a cost plus or fixed price home building contract change the estimate?

Yes, in what it has to withstand. Under cost plus it is a budget and a control document. Under fixed price it is your risk position for nine months, so the contingency line and overage terms must be right before you sign.

Do you cover multifamily?

Wood-framed only, and the line is drawn on structure rather than on unit count. Garden, wrap, low and mid-rise, townhome, condo and build-to-rent all sit here, priced with per-door metrics beside the total. The moment the podium goes to concrete or steel, the job changes desks and the section above says exactly where.

I collect sub bids and do not estimate. Is this still worth anything?

Yes, and it is why quantities only is the most ordered residential package. Three bids that disagree by twenty percent do not tell you which one is wrong, and a measured count does. It also prices the scope none of the three carried, which is the part that reaches you at buyout.
