Earthwork takeoff services begin at the existing surface

Every cubic yard is the difference between two surfaces, so the existing one gets built first from contours, spot elevations and boring collar elevations. Where the set gives contours at two foot intervals, that interval is the floor on how fine the answer can be.

Topsoil strip and stockpile

Strip depth comes from the geotechnical report or the earthwork specification, not from habit. Six inches across 40 acres is roughly 32,000 bank cubic yards on its own, and it is the line most often missing from a cheap estimate. Respread is carried separately, because it is a second handling.

Cut and fill takeoff by strata

Topsoil, suitable fill, unsuitable material and rock do not cost the same to move, so they are not measured as one volume. Earthwork estimating services that report a single cut and fill are reporting geometry, not cost. A 3 foot rock line under half the pad is its own quantity.

Excavation estimating services that skip the geotechnical report are guessing at the most expensive part of the job: undercut below subgrade, over-excavation and replacement with select backfill, proof roll failures, and a groundwater elevation that decides whether you are dewatering or pumping a hole.

Compaction, shrink and the site balance

Bank cubic yards in the ground are not compacted cubic yards in the fill. A shrink factor converts one to the other, stated per soil type because clay and a sandy fill do not behave the same at 95% modified Proctor. That net import or export figure is what your dirt sub is bidding.

Swell converts bank volume into loose volume, which converts into loads. Loads times a round trip cycle time produce hours, and hours meet a crew and an equipment rate. The earthwork assumption sheet, published instead of buried

Every earthwork dispute starts with a factor somebody chose and nobody wrote down. This is the list that ships with the volumes.

Topsoil strip depth in inches, and whether it came from the geotech or the spec
Shrink factor per soil type, with the type it was applied to named beside it
Swell factor used to convert bank volume into loose volume in the truck
Compaction target as 95% standard or 95% modified Proctor, per fill type
Rock line elevation assumed, and whether rock excavation is in or out
Groundwater elevation assumed, and whether dewatering is carried
Undercut allowance in inches below subgrade, and the area it applies across
Haul basis: rehandle distance, off-site round trip miles, or export excluded
Imported structural fill: source, delivered or picked up, and the tax position

WHERE THE MONEY IS

Mass haul analysis, where yardage turns into money

A balanced site and a cheap site are different sites. Everything expensive about dirt happens between the cut and the fill, and nobody reports that part.

A cut and fill balance answers one question: does the dirt fit. It says nothing about what moving it costs. Two sites can balance within a few hundred yards and still sit a dollar a cubic yard apart on the moving, because on one the fill is 300 feet from the cut and on the other 3,000 feet away across a live access road.

The chain is short and every link is checkable. Bank volume times swell gives loose volume. Loose volume over the body capacity of the truck you actually run gives loads. Loads times a round trip cycle time, built from distance, grade, surface and the delay at each end, gives hours. Hours meet a spread: an excavator or a pair of scrapers, a dozer pushing, a compactor and a water truck.

Then the decisions that move the number. Rehandling on site is cheap and slow. Export is fast and carries a tipping fee plus a round trip. Imported structural fill carries a delivered cost that moves with diesel and distance to the pit. Balance points tell you which yards are worth pushing and which are worth trucking, and the free haul distance in the specification decides where haul stops being included in the excavation price and starts being paid as overhaul.

Ask any provider for the haul distance they assumed and the truck size they costed. If the answer is not a number and a unit, the balance report you got is a geometry exercise.

Underground utility estimating services

Length is the easy half. Depth and what is already in the ground are the other half.

Pipe, structures and tie-ins

LF and EA

Pipe by diameter and material, structures counted by type and depth with frames, covers and connections. A wet tap on a live main is a tapping sleeve, a valve, a permit and a utility coordination window, so it is counted as its own item rather than as the pipe it lands on. A cut-in tee is the same connection with a shutdown behind it, and it prices differently again.

  • Depth bands, not an average depth

    A run that starts at 5 feet and ends at 18 feet is measured in bands, because shoring, bedding, spoil handling and the machine all change on the way down. An average understates the deep end, which is the end that costs money.

Trench, bedding, testing and safety

CY and LF

Trench excavation, bedding and haunching, select backfill against native, compaction, and the trench safety item the spec requires by LF.

  • Testing and crossing conflicts

    Hydrostatic testing, disinfection, bacteriological clearance, mandrel and air testing carry real duration and are counted, not taken as a percentage of the pipe. Profile conflicts are flagged with the stations named.

  • The density assumption is written down

    Square yards times thickness times a density gives tons, and the density is stated in pounds per square yard per inch. Three pounds of disagreement on that figure across 40,000 SY of 3 inch pavement is 180 tons of asphalt neither bid has priced.

Aggregate base by depth, subgrade prep and proof roll by square yard, geogrid and geotextile where the section calls for them.

  • Truck court and trailer stalls

    Heavy duty sections under a truck court, trailer parking and dock apron are measured as their own areas at their own thickness. Averaging them into car parking is a quiet way to lose money on a distribution site.

Curb, sidewalk and site concrete

LF and SF

Curb and gutter by linear foot and type, sidewalk and ADA ramps by SF with detectable warnings, concrete paving by SY with jointing.

Heavy highway estimating services

Corridor work is measured by station, not by area, and traffic is a cost item.

Cross sections turned into end areas and volumes station to station, with the haul running along the alignment rather than across a pad. Balance points fall between stations and the overhaul argument starts there. Maintenance of traffic is priced by how long each phase stays up.

Process piping estimating services, priced by diameter inch, not by the foot

A hundred feet of 2 inch carbon steel and a hundred feet of 12 inch stainless are the same length and nothing else. Here is the unit that carries the labor.

Why the weld, not the foot, sets the price

Length buys material. Welds buy labor, and labor is most of a piping package.

A weld on a 12 inch line is roughly six times the diameter-inches of a weld on a 2 inch line, and the hours follow the diameter-inches, not the joint count.

  • Wall thickness and material multiply it again

    Schedule 80 takes more passes than schedule 40. Stainless, alloy and chrome take more again, and they take procedures. The total is factored by material and schedule.

Shop welds against field welds

Split

Shop welds happen at a bench with a positioner. Field welds happen on a rack at height in weather. Where isometrics exist the split comes off the spool breakdown; where they do not, the split is an assumption and says so.

NDE and the radiography percentage

% of welds

A 5% spec and a 100% spec are different jobs. Full radiography on a chrome line changes the labor, the schedule and the rework exposure, so the percentage used is read off the specification and stated.

What else gets counted on a piping package

The pipe is the cheap part of the list.

Fittings, flanges and valves

EA

Counted individually by size and rating rather than as a percentage of pipe footage. Valves are frequently the largest single material line on a process package, and every flanged joint carries a gasket and a bolt set off the flange count.

Supports, racks and hangers

EA and LF

Field supports counted by type, spring hangers and guides identified separately, rack foundations landing on the concrete package.

  • Where the rack steel gets lost

    Pipe rack steel sits between the structural package and the piping package and routinely gets carried by neither. It is picked up by weight, and the sheet names which package it landed in.

Insulation, heat tracing and coatings

SF and LF

Insulation by square foot at thickness by service, heat tracing by linear foot with the circuit count, coatings by SF with surface preparation named.

Equipment receiving, setting and the OFCI split

The biggest scope gap on a plant bid is who receives the owner's equipment.

Who carries freight and receiving

OFCI or CFCI

Owner-furnished contractor-installed equipment still needs somebody to take delivery, offload it, store it, insure it and answer for damage. The estimate names which party carries each.

Rigging, cranes and access

Hours

Crane size driven by the heaviest pick at the longest radius, not the average one, with mobilization, assembly and standby separate.

  • Access decides the crane

    A pick over an existing building, across a live rail spur or through a 20 foot gate is a different crane from the same weight in an open field. The access assumption sits beside the crane hours.

Anchor bolts, grout and millwright hours

EA and Hours

Anchor bolt assemblies and templates counted, grout by volume, setting, leveling and alignment priced as millwright hours per item. Startup, commissioning and turnaround management are excluded on every process package.

Three building types where the cost driver is not square footage, each with a threshold that moves the number more than floor area will.

Warehouse construction cost estimating

Clear height is the driver, not footprint. Every four feet of added clear moves panel or column height, brace loads, foundation size and the sprinkler design, because an ESFR listing is written to a maximum roof height. A slab for wire-guided equipment is a different pour from a slab for a sit-down forklift, and a distribution center construction estimate adds dock count, levelers, pits, seals and the truck court section. Published tilt-up warehouse cost per square foot figures move further on those decisions than on the spread between two bidders.

Manufacturing plant cost estimating

On a plant the process decides the building, so the building gets measured last. Equipment pads, deep foundations under heavy machines, pits and trenches, crane runways and their columns, floor loading that pushes slab thickness past anything a warehouse needs, utilities at process pressure. The gap that hurts most is the boundary between the mechanical contractor, the millwright and the GC, so it is stated per item.

Data center construction cost estimating services

The buyer measures the project in megawatts of IT load, not square feet, because electrical and mechanical carry the number and the shell does not. Switchgear, generators, UPS, busway, containment, chillers and CRAH units are quantified off the drawings, whitespace and greyspace kept apart, escalation exposure on long-lead gear called out. What is offered is quantities and cost structure. Topology, redundancy design and tier certification are not.

Nobody in an office has run your scraper fleet on your dirt in your rain. That is the honest objection, and here is where the line sits.

Duration comes from production, not from a book price

On heavy civil work a unit cost out of a book is the weakest possible input. Quantity divided by a production rate gives duration: linear feet of pipe per day at a given depth, cubic yards per hour for mass excavation, tons per day for a paving crew. The number you argue with is the production rate.

Crew composition named per activity

Each activity carries a crew: an operator, a laborer or two, a pipelayer, a foreman, and the machines they run, rather than a blended man-hour across a site. When you disagree with a duration you can see whether the argument is about the crew, the machine or the rate.

Equipment ownership and operating cost estimating

An hourly equipment rate is two stacks plus a person. Ownership carries depreciation, interest, insurance, taxes and storage. Operating carries fuel, wear parts, tires or tracks, ground engaging tools and maintenance. Mobilization and demobilization stay separate, because a machine that returns for a second phase gets paid for twice.

Whose rates: yours, or a published baseline

Plenty of contractors treat their O&O rates as their edge and have no intention of emailing them out. That is reasonable. Send your rate sheet and the estimate is built on it. Do not, and it runs on RSMeans and National Construction Estimator baselines corrected to the jurisdiction, with every rate named so you can substitute your own.

The most useful version of this service for an experienced heavy civil contractor is often the cheapest: measured quantities, stated assumptions and derived durations, with no rates in the file. You drop in your own labor, O&O and markup. The judgment stays where it belongs.

Estimate class and escalation, what the band means at your document stage

Accuracy is a function of what you sent, not who measured it. These are the questions asked before anyone signs an industrial number.

Which AACE class is the set I am sending?

Whichever one your documents earn. AACE 18R-97 runs from Class 5, a concept with a capacity and a site, to Class 1, a complete bid document set, graded on how much of the project is actually defined. The class is read off what you send rather than chosen to flatter it.

What accuracy can you promise on the set I have?

The 3-5% variance band applies to complete bid-stage documents, which is Class 1 territory. It rests on measured quantities and a second estimator rebuilding the volumes independently rather than proofreading the first file. On a 50% set with no grading plan and no line list, no honest estimator holds that band, and the quote names the band your documents support.

How is a construction cost escalation estimate built?

The estimate carries a base date, the month its prices were pulled. Escalation runs from that date to a named point: award, or the midpoint of construction on a long program. Material and labor escalate at different rates and are escalated separately, with the index stated.

Why is escalation shown as its own line?

Because you will want to argue with it, and folding it into unit costs makes that impossible. It sits on a removable row with the base date, the period and the basis beside it. Tariff-exposed commodities such as structural steel and copper are called out separately.

Can you price a conceptual estimate on an industrial project?

Yes, as a range with a stated basis, never as a single figure with false decimals. A conceptual estimate on an industrial project is built from capacity, footprint, clear height and the process equipment list. A design build industrial estimate adds an allowance schedule for scope nobody has drawn yet.

An existing surface and a proposed surface are built from the grading sheets, then compared to produce cut and fill volumes in bank cubic yards. Topsoil strip, unsuitable material and rock are separated as their own strata. Shrink is applied so the balance means something.

What is shrink and swell in an earthwork takeoff?

Swell is how much a cubic yard of ground expands once dug and loaded, so it governs truck counts. Shrink is how much it compacts once placed and rolled, so it governs how much bank yardage a fill consumes. Blending them into one factor is the classic tell.

What do earthwork takeoff services need from my drawings?

At minimum a grading plan with a labeled contour interval and a stated scale. A civil CAD surface or LandXML is better and removes the digitizing step. A geotechnical report turns one volume into four by giving strata, rock line and groundwater.

Do you carry undercut and unsuitable material?

Only where the documents support a quantity. Undercut below subgrade is carried as a stated allowance in inches over a named area, or excluded in writing. The same applies to proof roll failures and rock excavation, and nothing is folded quietly into the fill.

How is structural steel estimated by the ton?

Members are taken off by mark and shape, matched to nominal weight per foot from the AISC shape database, and extended to short tons. Connection material at bid stage is added as a percentage of bare member weight, commonly 5 to 7% on ordinary shear-connected frames.

Is process piping priced by the foot or by the weld?

Material is bought by the foot but labor follows diameter-inches of weld, so the weld count drives the number. Every weld is counted and sized, then factored for schedule and material, with shop welds separated from field welds and the specified radiography percentage applied.

Long programs

How do you handle escalation on a multi year construction project?

The estimate carries a base date, and escalation runs from it to a named point such as award or the midpoint of construction. Labor and material escalate separately because they do not move together, and the line stays removable rather than hidden inside unit costs.

What is an AACE estimate class?

AACE 18R-97 grades an estimate by how much of the project is actually defined, from Class 5 at concept to Class 1 at complete bid documents. It exists so a wide range early reads as honest rather than sloppy, narrowing to roughly plus or minus 10% at Class 1.

Can you build a design build industrial estimate before the drawings are finished?

Yes, as a range with an allowance schedule attached. Everything drawn is measured normally. Everything not yet drawn carries an allowance stating the quality level, the quantity and the exclusions behind it. What comes back is a decision document, not a bid.

What is the difference between industrial and commercial construction estimating?

The boundary is tenant-facing against process and logistics. A retail shell, an office fit-out or a hotel is priced against a tenant program and a landlord work letter. A warehouse, plant or data center is priced against an operation, where clear height, floor spec and sitework carry the number.

Can you deliver quantities in our bid item numbers instead of CSI?

Yes. Send the item list or your internal cost code list with the drawings and the workbook comes back keyed to it, in your units. Work goes into HeavyBid and B2W directly, and into anything else as a CSV with the item number column you name.

Do you work for more than one bidder on the same job?

No blanket exclusivity is promised, so the honest answer is that two bidders on the same letting can both be clients unless something written says otherwise. What is guaranteed is separation: your drawings, quantities, item list and bid date are never discussed with anyone, and an NDA is signed before a sheet moves whenever you ask. If you want exclusivity on a solicitation, ask at the quote stage and it is answered first.

Who should not order an industrial estimate from you?

Anyone with a 30% design set and no grading plan, because you would be buying an assumption rather than a quantity. Anyone bidding one small site a year who already owns the software. And anyone who wants somebody else to own the bid decision.
